Notes from the Committee of Chairs – Tuesday, October 18, 2022 on Zoom

In attendance: Liz Benjamin, Allen Clark, Fran Dodd, Dawn Evans,   Steve
Finner, Judith Hinds, Hugo Liepmann, Leslie Parr, Janet Poeton,  John
Poeton, Emily Seifert, Peter Thoms, Meredith Warner

At 6:34 pm Judith opened with a reading from Lifting our Voices.

Presently there is no heat in the Vestry.

Check-in consisted of responding to:

What   have you noticed /  concerns you /  are you grateful for    at UCM
this fall ?

Noticed items:  150 were at first service ! / video in sanctuary shows the
fingers on the piano / new people / people happy to be back / new staff
/many children the first week / amazed at new staff – team members already
! / new faces in the choir, congregation, staff / shocked by concern about
air quality /  healthy congregation / great to see people / some oldies
(from long ago past) attending

Concerns:  no Treasurer / no air / AV & chimney problems / why families  &
others have not returned / # of vacant seats in critical committees / so
many traditional events without leaders / few people came to talk with the
Board / few came to first pot luck / maybe UCM is doing too much too fast /
this might need to be a transitional year / appears to be a two tiered
congregation – retirees who can be active during the day & workers who
prefer night meetings / lack of essential volunteers / frustrated with air
quality situation / lack of leaders – concern about age bracket

Grateful items:  the total UCM community / online services / to be on the
path with you all / new families / Activity Fair & people signing up /
counters / volunteers who have stayed on long time – too few for so long /
in person seating on a Sunday morning / Kris Hammer – his work & work ethic
! / great JOY looking at the congregation faces and seeing JOY in their
faces  / choir ! ! !  has been super / 20 volunteers showed up to help with
circuit search / leaders whom we do have !

7:06 ~ Updates:

>From the Board – Fran, Hugo, Meredith ~ August spent setting priorities /
this month reviewing finances / next looking at Stewardship (which is more
than just the pledge drive) / Church Governance – working with Erica
Baron.  Each Board member is taking a lead on one of these topics.  The
Fireside Room chat focused on:  * paying attention to concerns   *how to
grow congregation and inspire those who come * there is confidence in
process -      The Finances are overdue for review – accountability – how
model relates to roles –  make sense of how to function without redundancy
for staff

>From ET – Dawn, Leslie ~ met all summer – filled staff positions, addressed
building readiness, met with committees – hats off to Claudia !!!  ET will
need a new member in January, rave support for all Rev Joan is doing !!!!

>From AQP Team – Allen, Meredith ~ ERV fan has been fixed, Chimneys unlined
– November project, new boiler will be attached, presently the Vestry has
no heat – all ERV functioning, decision about south chimney needs to be
made – looking at options, still well within the budget

>From others:

LSE – Liz  ~  have youth and Bridging leaders, this program is not a good
fit for short term jobs – longer term commitment needed for consistency

RJG – Meredith ~ hybrid meeting about prop 2 –  now making calls – a first
effort !

Alliance – two indoor meetings with potlucks – great programs – AQP & Prop
2 – very successful indoor Rummage Sale – people signed up at Activity Fair

Community Pouch – committees are asked to pick a month and an organization
– RJG could pick two – people signed up at Activity Fair

Community Lunch – working to move indoors – concern about lack of heat in
the vestry – have many volunteers ready to participate

Holiday Fair – DECEMBER 3 !  hoping to expand to Friday night with a
musical component and food, wreaths ordered, volunteers are signing up

QUESTION:  how to be ready for transition when Sam retires?  Personnel Ctee
has a job description and a plan – comment:  January is a very busy month
with reports to UUA and end of the year finances . . .

7:33 ish – STRETCH and move a bit . . .

Comment:  Minister’s work load is pretty high!  Being a pastor and CEO –
all agreed there is support and this is something to continue to be aware
of … both Joan and Verdis are wearing too many hats!

She recommends moving from committees model to more short-term jobs – HOW
do we identify people to ask ?

Brainstorm positive ways to enliven volunteer scene –

Increase visibility for smaller jobs

Stewardship – each make 5 calls rather than 10

Community choir – come when you can . . .

LSE – how can it work ? ! ? !   - many calls to touch base, capitalize on
age gap – have fun healthy activities – maybe a monthly pot luck with main
dish cooked by elders - supporting families ~ encourage middle schoolers to
join in . . .  CREATE a UCM MEALS PROJECT – one night a month . . .

More Task Forces – they have an identified short-term focus – maybe break
down committee functions and assign to small groups or individuals

   -

   When a gift is given to UCM – a thank you is needed: identify a writer
   -

   Insurance – have 2 or 3 focus and review –
   -

   Volunteer leaders needed – human relations very important
   -

   MAYBE have current leaders “tell their story”
   -

   Sharing gifts from the pulpit – inspire others to be more involved,
   develop relationships
   -

   Middle schoolers help make meal – olders can have fun leading activities
   -

   Every once in a while have someone express why they do what they do
   -

   Follow up to Activities Fair – had POSITIVE responses
   -

   More ministry than governance
   -

   Changes experienced – next month’s theme is Change – can we share how we
   have changed to serve UCM’s changing needs?
   -

   Denominational & Jollification groups ~ check in with them

NEXT MEETING will likely be January 17 – the third Tuesday of January.
(Thumbs up.) It will be planned as a hybrid meeting. We need a few more
people to be trained in the finer points of Zoom so we are not always
depending on the same few.
